More than fifty sessions across six weeks, nine organising bodies, and dozens of speakers and venues. Each partner body owns its own channels and audience, so nothing could be run from one central account. The events data lived in Eventbrite and a partner app, and the public site was being built by DEXM in parallel. We had a fixed budget of hours and a launch date that did not move.
We started by tiering the programme rather than treating every event the same. A small set of headline events gets attended, filmed and given the full asset set; the rest get a consistent listing, speaker card and reminder, and are amplified by the partner that owns them. That decision drove everything else.
We grouped the programme into five Focus areas (Foundation Learning; AI Governance, Risk and Compliance; Leadership and Business Change; Build It!; Education), each with its own message and audience. Designer Matt Falla created the visual identity for each Focus area and produced the event assets. We defined the asset system around that: fixed codes and sizes for every speaker card, Eventbrite header, intro slide and reminder post, so production is consistent and tracked per event.
Because partners own their channels, we built partner amplification packs: one private page per body with their logos, copy, assets and posting schedule, hosted as a small static site so nobody needed a login or a new tool.
The whole plan lives in a Notion hub: a week-by-week task board, a content calendar with a publish gate, a deliverables register, a media tracker and a work log against the hour budget, so the organisers can see status without asking.
